At the September 15 School Committee meeting there was a 2026-2027 Opening of School Update, an Athletics Sustainability Review, a Pollard Middle School Project Update, and 2026-2027 Subcommittee Assignments.
The meeting opened with a moment of silent reflection in memory of NHS student Elijah Chen who passed away suddenly yesterday.
School Committee Updates
- Alisa Skatrud met with the PTC presidents and participated in the Future School Needs Committee meeting
- Liz Lee gave an update from the Policy Committee
DISCUSSION ITEMS
Opening of School Update
Dr. Gutekanst gave an update on the first few days of school, along with Shane Marchand, Transportation Director and Dr. Montes-McNeil, Assistant Superintendent of Human Resources. Detailed slides can be found in the packet.
- NHS, Pollard, High Rock & Mitchell Communities came together to support the family, friends, classmates and teachers of Elijah Chen. Support and counseling staff are available.
- Dr. Gutekanst and other administrators visited classrooms in all the schools over the last few days, lots of activity and engagement seen.
- Preliminary enrollment numbers were fairly consistent with what was predicted by the demographer

- Final enrollment numbers will be available on October 1.
- Transportation update: New transportation company NRT this year. A few hiccups to start the year as drivers are learning the routes. Ridership has remained steady.
- NRT buses have GPS tracking. If buses are running late, families are notified on Facebook or X. Bus numbers have recently been added to Powerschool so families on each route can now also be e-mailed directly.

- Human Resources Update
- Great progress with contract negotiations

- Staff Resource Page developed last year has become a useful resource. Also have a HR Running Newsletter and increased resources for administrators.
- HR/Finance improvements to review and modernize systems and workflows to streamline onboarding, payroll and position tracking.

- Increasing diversity of staff over the years. This summer 156 Staff Hired, 17% Diverse Staff
- Honored retirees at the end of the last school year and also celebrated staff who have served the district for 20 years (including Dr. Gutekanst for 20 years as Superintendent!)

School Committee asked questions and engaged in discussion.
Athletics Sustainability Review
Ryan Madden, Athletic Director, and Jake Sykes, Grant Coordinator/Budget Analyst, presented a review of the Athletic Department’s Financial Position and Sustainability. Detailed slides can be found in the packet.
The Needham Athletics Program’s finances have had structural deficits for many years that they have tried to overcome. However, expenses continue to outpace revenue and this has become unsustainable. The department has done a study to try to figure out the best way forward. Athletic user fees have only increased $15 since 2007 which is far below most surrounding communities. Gate fees remain an unreliable source of income. The goal of the study is to evaluate a sustainable multi-funding scenario.
- Needham has the largest Gr 6-12 public school athletic program in the state and offers the most programs, including cut and non-cut sports. The goal is to have a place for everyone who wants to participate in athletics in some way.

- Many athletic costs are fixed regardless of how many students are participating each year (league/MIAA dues, ref costs, transportation costs). Therefore even if participation fees drop modestly, most expenses remain the same.
- The Athletic Department has assumed many of the costs that used to be funded by Boosters as the Boosters’ fundraising has also decreased in recent years. (ex. Hudl videorecording services for coaches and teams to analyze games and allow students to create highlight reels for college applications).
- Increased postseason success leads to increased costs for each additional game played (transportation, referees, etc).
- Goal is to create a sustainable plan that protects student access and program quality, creates a stable financial foundation, and shares responsibility fairly among the district, families, and the athletics department.

- Without action, the revolving fund balance will turn negative by FY29.

Three different potential solutions to this problem were evaluated.

Their recommendation is the combined approach which achieves financial stability and peer-aligned operating support. This plan includes increased district contribution, increased family contribution, and improved department efficiencies to find savings.

School Committee expressed their appreciation for the detailed presentation and asked many questions. They will consider this recommendation in upcoming budget discussions.
Pollard Middle School Project Update
Dr Gutekanst, Hank Haff & Meryl Nistler from Needham’s Building Dept, and Tina Stanislaski from HMFH presented an update on the Pollard Middle School Project. Detailed presentation can be found in the packet.
- In previous years of analysis, a combined 6-8 grade Pollard was found to be the fastest and least expensive option to deal with the current deficiencies in our schools.
- The design is based around our educational program and will have a cluster model with appropriately sized classrooms. 6th grade will have its own wing.

- The design is focused on having the right number of classrooms for Needham’s unique needs and optimizes space utilization. There is no deficit of classrooms in the design.

- As none of the grades overlap during enrichment blocks, 25 classrooms is sufficient to meet student needs.
- The Library has also been right sized and can hold all of the books that are currently in both Pollard and High Rock Libraries as well has having instructional space for 3 classes.

- The Massachusetts School Building Authority (MSBA) has committed to reimbursing up to $80.6 million dollars which will lower the net cost of the project to $245 million dollars.
- MSBA reimbursement is based on specific metrics and is calculated the same way for each school project in the state. Reimbursement is capped at $605 per sq foot even though current costs are $978 per sq foot. Each community has its own reimbursement rate based on socioeconomic factors and incentive points.

- Major cost drivers are student enrollment (this school will serve ~25% of the student population) and rising construction costs across the nation. Sq foot costs are now significantly higher than they were at the time the Sunita Williams Elementary School construction began in 2017.

- After reimbursement, a new build will be less expensive than a base repair of Pollard and High Rock. A base repair also will not meet our educational plan for middle school and will require additional expenses to build a temporary swing space for a future Mitchell renovation. A base repair will also lead to 10 years of construction and will still leave Pollard with significantly undersized classrooms and auditorium.

- They have carefully evaluated the necessary operating expenses for staff and for a new larger building.
- Meeting Needham’s overall sustainability goals are important and they are also investigating all possible grants, funds and rebates. They are working to maintain as much tree canopy as possible. The new building is designed to have natural light in all classrooms.
- Upcoming opportunities to visit Pollard or learn more about the project:

School Committee thanked the presenters for their extensive work on this project and engaged in questions and discussion.
2026-2027 Subcommittee Assignments
